Agree on the place and responsibility
Contact the site manager or relevant local organiser before inviting participants. Define a small area and a clear time window. Confirm who will supervise and how volunteers should report anything unsafe. Do not extend the activity into private, restricted or ecologically sensitive areas simply because they appear to need attention.
Let trained teams handle unfamiliar hazards
Follow the organiser's instructions on equipment and permitted tasks. Leave sharp, chemical or unidentified material to the responsible trained team. Volunteers should know they can step away from a task they are not equipped to do. A successful activity does not require every object to be handled by the group.
Arrange disposal and follow-up
Confirm the collection point and removal arrangements before the session begins. Take an accurate record of the agreed area completed, without inventing environmental impact figures. Ask what maintenance would prevent the same problem recurring. Sometimes better signage, a repaired bin or regular coordination matters more than another large event.
