Put confirmed details in one place
Record the temple name, official contact, booking reference, reporting instructions and travel arrangements. Add the date on which you checked the information. Keep identity documents private and share them only where required; the group itinerary does not need to contain everyone’s sensitive information. Use the temple’s own terminology so people can recognise signs and instructions when they arrive.
Assign practical responsibilities
Agree who will keep the tickets, coordinate transport and contact the group if plans change. Give each person a copy of the essential details rather than making one phone the only source. Include a meeting point and a simple alternative plan for delays. Confirm how belongings will be handled if certain items are not allowed inside.
Leave space in the schedule
Separate a required reporting time from an estimated activity duration. Do not promise a quick exit unless the temple explicitly provides that information. Allow room for queues, rest and meals. Afterwards, update the checklist with lessons from your experience, while making clear that operational details must be checked again before the next trip.
